01Scope
This policy covers information collected through the Novinway website, consultations, service requests, family onboarding, recruiting, and other direct contact. It also covers Care Services, Novinway’s specialized childcare service line, and Navigation Services, its information and hands-on administrative support service line. A service agreement or separate notice may add details for a specific service.
02Information we collect
We collect contact details and information about the help you request. For Care Services, this can include practical information about the child, schedule, safety, emergency contacts, and approved pickup people. For Navigation Services, it can include family priorities, records, forms, and permissions tied to the task. We also collect billing details, messages, feedback, and reports about incidents or complaints.
03Information collected automatically
The website and its service providers can receive device and browser details, IP address, approximate location, referral source, pages viewed, interactions, and cookie data.
04How we use information
We use information to answer questions, decide whether we can provide the requested service, prepare staff, schedule and deliver services, communicate, process payment, protect safety, handle concerns, meet legal duties, improve our work, and manage staff.
05Who can see information
Care Specialists receive the practical information they need for assigned childcare. Navigators receive the information they need for the task the family has chosen. We do not automatically copy outside clinical, school, insurance, or legal records across roles.
06How we share information
We can share information with the family, assigned Novinway staff, service providers that help us run the business, and outside recipients the family approves. We also share information when the law requires it. We limit the information to what the stated purpose needs.
07Communication the family approves
Before a Navigator requests or sends records or contacts another organization for the family, Novinway records the purpose, recipient, information, time period, and permission. Some organizations will still need the parent to speak, sign, or confirm their identity.
08Safety and legal disclosures
Novinway may use or disclose information when reasonably necessary to protect immediate safety, report suspected abuse or neglect, respond to lawful process, enforce agreements, or meet another legal obligation.
09How we protect information
Novinway uses administrative, technical, and physical safeguards suited to the information and service. No system can guarantee complete security.
10How long we keep information
We keep information as long as we need it for services, safety, employment, taxes, legal duties, insurance, disputes, and records. We then delete it or remove identifying details under our retention schedule.
11Your choices and rights
You can ask us to review or correct your contact information, change communication preferences, or handle another privacy request. Your rights depend on your location and relationship with Novinway. We may need to confirm your identity and authority before we act.
12Children’s information
The website is for parents, guardians, professionals, and job applicants. It is not for children acting on their own. We collect information about a child from an authorized adult when we need it for an inquiry or service.
13Family stories and quotations
To protect family privacy, Novinway may change or generalize names, initials, locations, ages, and other identifying details when sharing family stories or quotations publicly. We may also lightly edit, shorten, or combine statements made by the same person for grammar, clarity, and length. We preserve the substance of what the person communicated and do not use those changes to create a materially different experience or opinion. We do not present a statement assembled from different families as though it came from one person.
